How to Track Expenses in Multiple Currencies Offline

Short answer: give each currency its own account, enter the exchange rate yourself, and use a tracker that saves the rate with every transaction. That way you can log spending with no signal abroad, and your past reports never shift when rates move.

Why multi-currency tracking usually goes wrong

Travellers, expats, freelancers paid in another currency, and anyone with a foreign bank account run into the same three problems:

  • No connection when you need it. Apps that sync or fetch live rates stall on a plane, abroad without roaming, or in a shop basement.
  • History that changes by itself. If every amount is converted at today's rate, last spring's trip "costs" a different amount every time you open the report.
  • A net worth figure you can't trust. A travel card with 300 EUR quietly converted into your home total can make your net worth look higher or lower than what you can actually spend.

Step by step: tracking foreign currencies offline in Balance

Balance works fully offline and supports 150+ currencies. Here's the setup that avoids all three problems.

1. Set your default currency

Open Settings → Currency Settings and pick the currency your budgets, reports, and net worth should be shown in — usually the one you're paid in.

2. Create one account per foreign currency

Add an account for each wallet or card that holds another currency — "EUR travel card", "JPY cash", and so on — and set its currency. Put it under the Foreign Currency account type. Accounts of that type are kept out of net worth by default, so a travel balance never inflates your home figure unless you choose to include it.

3. Enter the exchange rate — no internet needed

Set the rate right in the account form, or later under Settings → Currency Settings → Exchange rates, which lists every currency in use across your accounts. Because you enter it, it works anywhere, even in airplane mode. Use the rate your card or exchange desk actually gave you for the most accurate numbers.

4. Log spending in the local currency

Record each purchase against the foreign-currency account, in the amount on the receipt. Balance stores the exchange rate in force at that moment with the transaction, and converts it back to your default currency for budgets and reports.

5. Update the rate when it moves

When the rate changes, update it. The new rate only applies to transactions from that point on, plus the account's current value in net worth. Historical reports keep the rate each transaction was recorded with, so last month's totals stay exactly as they were.

Tips for tracking spending while travelling

  • Log at the till. Entering an expense takes seconds, and it's far easier than reconstructing a week of receipts later.
  • Use a transfer for currency exchanges. Moving money from your home account to a travel wallet is a transfer, not spending, so it won't distort your budgets.
  • Match your decimal style. Settings → Currency Settings lets you use a period or comma as the decimal separator, independent of language.
  • Check the calendar view after a trip to spot your highest-spend days at a glance.
  • Export to CSV if you need to share costs or claim expenses when you get home.
